JOB DESCRIPTION:
Position Overview
We are seeking a Digital Events Producer (contractor) to manage the end-to-end coordination of a large-scale internal engineering showcase program spanning nearly 300 webinars. This role is the central connector between a professional video production team and the program’s steering committee, driving seamless execution across simulive and VOD formats while ensuring every session meets brand standards.
Key Responsibilities
• Own project plan for ~300 webinar sessions, tracking milestones, deadlines, and dependencies from speaker onboarding through VOD publishing.
• Serve as the primary liaison between the video production team, steering committee, and engineering presenters — facilitating alignment meetings, managing escalations, and distributing run-of-show documents.
• Oversee technical setup, rehearsals, and execution of simulive and VOD sessions; troubleshoot issues pre-, during-, and post-event.
• Administer digital event platforms such as vFairs, Socialive, ZoomEvents, Cvent, and Workfront; manage vendor relationships and platform SLAs.
• Enforce brand consistency across all recordings — distribute branded virtual backgrounds, conduct pre-recording checks, and coordinate with the production team on consistent use of lower-thirds, intros/outros, and motion graphics.
• Manage speaker intake, content submissions, and asset reviews; maintain a content library for all recorded sessions.
• Ensure VOD content is cataloged and published on time, including metadata, tagging, and closed captioning.
Qualifications
Required
• 3–5 years of experience in digital event production or a closely related field.
• Hands-on experience with platforms such as vFairs, Socialive, ZoomEvents, Cvent, and Workfront.
• Proven ability to manage high-volume webinar or virtual event programs with multiple concurrent workstreams.
• Strong project management and communication skills; comfortable working across production, technical, and executive stakeholder groups.
• Experience working with video production teams on simulive and VOD workflows.
• Strong eye for visual brand consistency and experience enforcing brand standards at scale.
Preferred
• Background in internal corporate communications, engineering all-hands, or employee-facing digital events.
• Familiarity with captioning workflows, video encoding standards, and content management systems.
• Experience in an enterprise technology environment.
Work Environment & Engagement Model
• 4 month contract
• Working on-site daily preferred
• High degree of autonomy expected; the successful candidate will be a self-starter capable of managing ambiguity and driving clarity across stakeholder groups.
LOCATION: Onsite Critical Role in Santa Clara, CA
HOURS: 9-5 PM PST
CONVERSION PLANNING: Not in this role, however there will be visibility to other teams that could net an opportunity
INTERVIEW FORMATTING: 2-3 panel interviews. Video is fine, but onsite could be requested for final video.
